Gurmun

Operations Lead, 415Headshots Inc.

Gurmun Singh runs the operational backbone of 415Headshots Inc. Every quote, every Certificate of Insurance, every venue coordination, every gear list, every post-shoot delivery routes through him. He's also a working lead photographer/videographer on shoots, with a photography practice that goes back to seventh grade.

A Career That Started in Seventh Grade

Gurmun has been shooting photos for over fifteen years. He picked up his first camera in the seventh grade and never put it down. Long before 415Headshots Inc. was a registered company, he was the one shooting senior portraits for friends in high school and event coverage for school clubs.

When Jasmeet started 415Headshots Inc. in 2021, Gurmun came on as the second photographer and quickly took over the operations side of the studio. He realized early that the work that wasn't behind the camera, scheduling, vendor coordination, gear inventory, client communication, was the work that determined whether the studio could grow. So he built it.

Today, the studio's project management workflows, client onboarding processes, vendor relationships, and venue insurance coordination all run on systems Gurmun designed.

The Person Who Makes Sure Nothing Falls Through

A common story in production: the shoot itself goes well, but the project breaks down somewhere in the operational layer. The COI doesn't arrive in time. The gear list is off by one cable. The client never receives the delivery link. The invoice goes to the wrong department.

Gurmun's job is to make sure none of that happens at 415Headshots Inc.

When a venue asks for a Certificate of Insurance with their entity listed as Additional Insured under a $1M general liability policy, Gurmun has the documentation ready inside of 24 hours. When a multi-camera shoot needs four CFexpress cards, eight batteries, two backup lavaliers, and a teleprompter, all packed in road cases by 5 AM for a 7 AM call time, Gurmun built the checklist that makes that load-out happen without anyone scrambling at midnight. When the client wants to know where the final files are five business days after delivery, Gurmun is the person who already sent the link, twice, and is now sending it a third time with a note.

On Set

Gurmun is also a working lead photographer and videographer. On headshot sessions he runs the camera and the direction. On video shoots he often serves as second shooter, B-cam operator, or floor manager, depending on the production scale.

His shooting style leans toward the natural and the spontaneous. He notices small things. The way someone's posture relaxes after the third frame. The exact second a client stops pretending and starts actually being themselves. Those are the frames that end up as the final delivered headshot.

He has personally photographed sessions for clients including BCG, Morgan Stanley, WeWork, and dozens of Bay Area startups and individual professionals.

Behind the Operations

The systems Gurmun built and now runs include:

Project intake. Every inbound inquiry gets a written response within one business day, with a request-for-information form that surfaces the variables that determine the quote.

Quoting. Custom line-item quotes built per project, with no flat-rate packages, because flat rates either overcharge simple projects or underscope complex ones.

Venue coordination. Pre-shoot calls with the venue's events team, AV coordinator, and security lead, plus COI generation timed to arrive before any venue-imposed deadline.

Gear and crew management. Inventory tracking, maintenance schedules, and shot-day load-out lists for every project. Backup gear loaded for every shoot.

Delivery. Frame.io review links sent within 48 hours of post-production start. Final files delivered via secure cloud link with revision rounds scheduled in advance.

Archive. Project files retained for one year on dual-redundant physical and cloud storage. Future recuts available without reshoot.
